Residential Moving Out Checklist


Initiate the Move out

Submit your Notice of Intent to Vacate online via your tenant portal or use the Intent to Vacate form under Tenant Resources, we require at least a 20-day notice period before your lease ends to provide us with ample time to list the unit.


Additionally, if you cannot submit your intent to vacate via your online portal, you are welcome to come in the office directly and fill out a form in person or you can inform your Property manager and Assistant property manager directly via email, if you do not know your property manager’s information you can contact our main email info@visitlandmark.com or call 360- 738-1022.


Prior to Move out: 

  • Pack your belongings and dispose of any bulk items, trash, etc.
  • Review the cleaning guidelines for all necessary information about how to thoroughly clean your unit and prepare it for final move-out inspection.
  • Please cancel all Auto-Pay information to prevent further payments in your AppFolio Tenant Portal.
  • Update your mailing address for regular items being shipped and mailed
  • Cancel/Update your utility accounts, example: PSE account, etc.

Moving Out Day:

  • Please return your keys either before or on the day of your lease expiration date
  • Options to return keys include:
  • Coming directly to the Landmark office: at 455 Stuart Road, Bellingham, WA 98226 to fill out a move out form and returning keys,
  • You may also leave keys in our dropbox; please note there is a move out form placed outside with the dropbox so please fill that out and leave it in an envelope with the keys so we can properly record that they have been returned
  • PLEASE NOTE: we cannot accept partial keys, so please ensure that you return any and all keys, parking permits, mail keys, fobs, etc.


Move Out Inspections & Charges

  • A Landmark employee will perform the move out inspection by filling out an inspection template describing the condition of each area in the unit. In addition to the written inspection the Landmark employee will also complete a video inspection of the unit.
  • A link to the move out video will be provided to you with your move-out accounting statement.
  • This statement will be postmarked and mailed within 30 days from the date the keys are returned to the Landmark office.
  • Once the condition of the unit is documented (cleanliness, damage, normal wear and tear, items left behind, etc.) it is compared to the condition of the unit at the time of move in. Tenants are responsible for the cost of returning the unit to the same condition it was in when they took possession, less normal wear and tear. Normal wear and tear is expected and tenants will not be responsible for such changes to the condition of the unit. They will, however, be responsible for any damage or uncleanliness beyond normal wear and tear.
  • Examples of additional charges may include:
  • Replacing any burnt-out light bulbs inside the unit as well as in any porch light fixtures.
  • Replacing the drip pans with the correct sizes or vacuuming floors and cleaning the tops of baseboards
  • Thoroughly clean the whole unit including the appliances, window blinds, window tracks and sills...the unit should be returned to the condition it was in when your lease started
  • Once the unit has been returned to move in condition the Move-Out Accounting Statement will be finalized and mailed to the forwarding address that was provided to Landmark at the time the keys were returned.
  • Security Deposit funds will be returned with only one (1) check, this check will be made out to include the names of all residents that were on the lease at the time the unit was vacated. Additionally, along with the check, one (1) move out statement will be mailed to the forwarding address provided at the time of move out. It is the responsibility of the outgoing residents to determine how the returned funds are shared between them.
